Full Time 40 hours Grade 051 Clin & Trans Science Institute Schedule 8 AM-5 PM; OCC WKENDS Responsibilities General Purpose: With minimal direction and considerable latitude for independent judgment, and acting as part of a professional collaborative team, assists with all logistics associated with various meetings and events of the Center for Leading Innovation and Collaboration (CLIC), both remote web-based meetings as well as in-person meetings, including coordinating all aspects of 300 attendee in-person meeting. Specific Responsibilities: With general guidance as to priorities, and with considerable latitude for independent judgment: Actively contributes to the planning, design, organizing and producing of nationwide CLIC meetings and events, working closely with CLIC staff and NCATS, including making all necessary arrangements for the events and collaborating with other key stakeholders. Assists and coordinates the administrative activities necessary for managing all projects elements within time limits, including organizing all eventsâ™ details, registration via a CRM, VIP guests, catering, audio/visual vendors, speakerâ™s needs, and preparing and disseminating meeting agenda and materials. Manages budget allocations related to logistics and materials for events. Anticipates speaker and participant needs, analyzes program flow, assess needs for space and uses of space/equipment and makes recommendations. Prepares and distributes meeting agenda and minutes, and related meeting materials. Assists with scheduling and arranging for webinars and other interactive remote teleconferences. Manages calendar of events and meetings for CLIC. Assists with marketing and PR to promote and publicize events. Maintains current and accurate information on the CLIC website. Assist with ensuring compliance with insurance, legal, health and safety obligations. Assist with arising issues and troubleshoot any emerging problems on the event day. Conduct pre and post event evaluations and report on outcomes. Assists in collecting required documentation for reimbursement following in-person meetings. Assists with other day- to-day meeting planning activities as requested by CLIC Lead Meeting Planner. Requirements Bachelorsâ™ Degree and at least one year of experience in meeting or event management, or other related administrative experience; or equivalent combination of education and experience.
